This is the latest addition to Insightful’s already extensive reporting capabilities and is available to all clients on the Process Improvement or Enterprise plan.

What Is Insightful’s Workload Distribution Report?

The Workload Distribution Report provides deep insights into how work is distributed across your teams. The utilization metrics are organized in clear and thorough graphs and charts, giving you a solid data basis for any optimization initiatives.

We wanted to design a feature that will help you move from reactive team workload management to proactive decision-making that keeps your teams balanced, motivated, and productive. 

This report will revolutionize the way you view and understand workload dynamics and resource management in your organization—especially when paired with Insightful’s existing workforce analytics arsenal!

Track, Adjust, & Optimize


You can find the new Workload Distribution Report in the Reports tab on your user dashboard, right next to other Insightful reports. 

The report includes a health trend graph that represents the average team utilization over a set period. There’s also a Settings button where you can adjust the preferred range for optimal utilization—that’s about all the setup you need to do! 

We built this feature to be truly adaptable, offering powerful insights for any industry—whether you're managing workload at a small call center team or a global enterprise with thousands of employees. Each organization can set its custom values of what they consider to be in the optimal utilization range. Insightful then automatically sets an underutilized (values below) and overutilized (values above) range based on your parameters. 

In the team table below the graph, you’ll get a detailed view of all your teams and their utilization scores. You can look into a specific team’s status or keep tabs on the whole ensemble at once. 

Workload Insights: Dive Below the Surface


The Workload Distribution Report is more than just charts and graphs. The feature provides two ingredients for optimization: context and direction. 

Coupled with straightforward data, you get insightful conclusions about the current workload distribution across your organization. These conclusions are calculated based on the workload percentages of each team and are there to nudge you on the right path to optimization. 

The report then examines the balance between each group, showing you which team needs an extra set of hands or more resources poured their way. How does this work?

Let's say you have a team of ten. The report will group the team into three categories based on their utilization: overutilized, optimal, and underutilized. In this example, let’s say that:

  • 4 employees fall into the overutilized category, which makes up 40% of the team.
  • 2 employees are in the optimal range, representing 20%.
  • 4 employees are in the underutilized category, also making up 40% of the team.

The conclusion here is that the workload is somewhat balanced but with room for improvement. Since the difference between overutilized and underutilized groups is small, the report might suggest adjusting tasks to achieve a better balance and ensure everyone is working effectively. 

Each conclusion is nuanced to reflect the unique dynamics of your team, from highlighting teams that are significantly overworked to those that might benefit from workload redistribution or changes in capacity planning. 

But what happens when change strikes? Employees can move up and down the ladder, affecting the team composition.
